This position is responsible for greeting visitors, receiving, and routing incoming calls, maintaining the security of the front desk area, and performing general administrative tasks as assigned.

Essential Job Functions:

  • Greet visitors in a friendly and professional manner and notify company personnel of visitor arrival.
  • Answer multiline phone system and direct calls to the appropriate party.
  • Maintain front desk security ensuring that all guests and visitors follow the security protocols for entering the building.
  • Issue guest badges and ensure visitors sign in/out log.
  • Collect and process outgoing mail throughout the company twice per day, am and pm; distribute incoming mail.
  • Maintain mail processing equipment to include postage and calls to vendor(s) for faulty equipment.
  • Acknowledge 911 alerts and directing emergency personnel.
  • Process orders and quotes for materials & services.
  • In case of fire or evacuation, take preparedness emergency kit to assembly area.
  • Act as a focal point for periodic service drives, e.g., food drives, coat/glove drives, holiday toy drive, etc.
  • Maintain confidentiality of sensitive information.
  • Supports with registrar services functions as needed.
  • Supports event team with onsite event management as needed.
  • Identify when exceptions are required and bring them to the attention of the departmental point person or manager.
  • Assist with departmental support services, including photocopying, scanning, collating, and filing/archiving files.
  • Understand and display Wilson Language Training values.
  • Other duties as assigned.

Minimum Requirements:

  • Communicate clearly and professionally over the phone, in writing, and in person.
  • Handle sensitive and confidential information.
  • Punctuality, Reliability, and Strong Work Ethic is a must.
  • Strong Organizational Skills
  • Sit at a computer station continuously for long periods of time.
  • Ability to work as a member of a team.
  • Learn and utilize computer programs as implemented by Wilson Language Training.

Education:

  • High School Diploma or G.E.D.
  • College degree, preferred.

Experience:

  • At least three years of experience in a front-desk role.
  • At least three years of experience in an administrative support role.
  • Familiarity with multiline phone systems.

Wilson has identified the anticipated pay range for this role based on the many factors that we consider in defining compensation levels for our roles, including market data, and internal equity considerations. Actual pay, and allocation between base and any target discretionary bonus, will vary based on geographic location, education, work experience, skills, market data, and internal equity considerations.
